AIR CANADA GROUP RULES AND RESTRICTIONS

Ticketing and Name Lists:

Ticketing deadline on files is usually 7 days prior to travel unless special permission is obtained for a closer deadline if names are not available. Names provided by that deadline must reflect legal name of each traveller as it appears on the I.D. they will be travelling with.

Identification required for anyone of legal age is government-issued photo identification and also strongly preferred if any minor is in possession of photo I.D. (passports, student/school ID cards, drivers licence, etc.) Any minor that is not in possession of a photo I.D. must carry 2 pieces of government-issued I.D. in the same name - this includes birth certificate, health card, social insurance card, boating or hunters cards, Canadian citizenship cards, etc.

Name Changes: Changes to names are allowed as many times as required and free of charge prior to ticketing flight reservations. Once files are ticketed, name changes will be subject to a $40.00 CAD fee plus g.s.t. airline service fee per change per passenger.

IMPORTANT NOTE: Name changes must be performed prior to any travel commencing or prior to cancellation occurring. If a student or coach is not able to be replaced with another name prior to travel - it is recommended the coaches and/or travel agent are given a name(s) in advance of frequent travellers within the division or school board system. Any ticket being cancelled and not replaced with another player/coach for this OFSAA travel could then be name changed prior to cancellation to one of the frequent travellers of their division/board for future use as listed below.

Cancellation: Tariff rules apply for each fare type. Tariffs state that full value (fare and all applicable taxes) are non-refundable once full payment is made. Cancellation/no show within 2 hours of flight departure is 100% loss of prepaid value and 100% loss of any residual credit value. Cancellation outside of 2 hours prior to flight departure will allow the establishment of a travel credit (non-transferable once established) valid for one year from date of issue of original ticket. Rebooked travel must commence by this one year deadline or credit value is forfeited.

Who to Contact for Changes/Cancellation:

a) if flights have been booked with Aries Travel or your own travel agent

If name changes or complete cancellations are known during business hours prior to 24 hours before travel - it is recommended to call Joanne Misner, Owner/Manager, Aries Travel Carlson Wagonlit at 1-800-465-7212 or 807-223-8098 or the agency that booked your travel as they have full access to the files for instant changes and assistance. Changes can wait till next business day if found out any evening but only up to and including the daytime of 1 day prior to travel.

b) if flights have been booked directly with Air Canada groups department or you cannot reach travel agent

Air Canada Groups department can be reached at 1-888-567-4160 but the person calling must be in possession of the electronic ticket number and/or file number of the person who is changing or cancelling. A complete list of file reference numbers will be provided to all coaches and/or chaperones once a file is booked and a list of electronic ticket numbers will be provided once a reservation is ticketed so they can reference the necessary information. If a coach or chaperone has not received such list, it is possible the flights have not been ticketed yet and changes should be advised to the travel arranger in their division or travel agent.

Any changes that are not found out until after hours of the travel agent or the Groups Department and require urgent attention - should be directed to Air Canada Reservations at 1-888-247-2262 and request to speak to a LEAD AGENT IN TORONTO is required. Lead agents are only available till midnight. Any changes after midnight and/or up to 2 hours prior to flight (maximum deadline for any changes or cancellation) will have to be directed to the same reservations number for Air Canada at 1-888-247-2262 but a lead agent would not be available. Name changes within this time frame will not be guaranteed however cancellation of a particular person could occur but the credit value would remain in the original name of the traveller cancelled for future use only.
